We’re looking for an experienced, exceptional Conference Sales Manager as we rebrand our historic hotel from a Holiday Inn to a Crowne Plaza Hotel.

The overall purpose of the role will be to oversee, direct and manage all aspects of the Hotel’s conference sales function.

The Conference Sales Manager will be Responsible To: the Group Sales Direct and Responsible for: Conference Co-ordinator, Special Events and Weddings Supervisor and Conference Administrator

Key Responsibilities include:

  • To maintain efficient and effective administration systems and procedures within the conference office
  • To maintain good relationships and communication with all other hotel departments to ensure the smooth running of the business, especially, operations, revenue, finance and sales
  • Ensure all enquiries are dealt with according to HIRV standards and procedures
  • To train, motivate, coach and development of the conference sales team, ensuring training records, inductions, one to ones, appraisals, training plan etc are undertaken in accordance with HIRV human resource procedures
  • To recruit, interview and induct personnel for the department
  • To address individual sub performance and adapt the performance management procedures as necessary
  • To implement, maintain and drive account management procedures within the conference office to develop long term relationships with clients and drive revenue
  • To attend the weekly revenue meetings with up to date information to identify production and revenue shortfalls and adopt clear strategies and actions to drive the business forward
  • To set departmental and individual goals and objectives for future sales activities and projects with each team member
  • To ensure the ‘meet and greet’ procedures are adhered to
  • To represent a professional image on behalf of HIRV at conference road shows, client fam trips, dinners, etc
  • To ensure all collateral, flyers, tactical e-mailings etc have the correct brand standards and are grammatically correct
  • To set the conference budget each year with support from the Group Sales Director
  • Drive direct mail campaigns, telesales and any other sales promotions to maximize departmental revenue especially during trough periods
  • To assist in the compilation of reports, presentations and tenders
  • To co-ordinate participation at exhibitions and represent the group as required
  • To assist in the organising and hosting of familiarisation visits and corporate hospitality events
  • To manage the Brilliant system with correct data, to ensure accurate reporting, up to date databases for tactical mailing and BEO effectiveness
  • To organise monthly Conference Sales meetings to discuss future leads, exchange sales ideas, communication updates for team and share best practice
  • To keep up to date knowledge on all hotel programmes, promotions and sales activities throughout the hotel and up sell hotel services wherever possible
  • To maintain the conference section within the Business Plan and ensure this is updated on a regular timely basis
  • To ensure all rates quoted are best available rates and monitored against departmental and hotel budget to ensure we maximise yield management opportunities
  • Responsible for ensuring all office equipment is in good working condition and report faults as necessary
  • Keep up to date knowledge on the competitor hotels ref rate, reasons for denial, refurbishments and share at weekly revenue meetings
  • To keep up to date product knowledge on HIRV, IHG and the various brands
  • To keep up to date product knowledge on all HIRV promotions and IHG programmes and to actively sell and promote as appropriate
  • To ensure total confidentiality is observed in the execution of duties
  • To take part in any training and development activities as recommended
  • To adhere to Company service standards
  • To adhere to Company image standards
  • To be fully conversant with and adhere to Fire Procedures, Health & Safety Policy and all other legal requirements
